Formal E-mail Etiquettes
Dos
- Write a clear subject line. It should be neither too short or too long. It should convey the essence of the e-mail as clearly as possible.
- Write proper salutation like Dr., Prof. etc. even to the person, who may be your friend.
- KISS – Keep it short and simple. Remember, the e-mail is to express your thoughts and not to impress the reader.
- Don’t use slangs / informal stuff.
- Make sure there are no typing errors or grammatical errors in your e-mail.
- Make sure you add your signature at the end of the mail.
- Use BCC judiciously
Don'ts
- Don’t press “reply to all” if not necessary.
- Don’t mention all mail ids in “to” box. If it is a mass mail, mention them in BCC
- Don’t send too many e-mails or use PS too often.
- Don’t write too long an e-mail, if not required. Brevity is the soul of wisdom. Generally, the person shouldn’t have to scroll-down your mail.
- Do not use the exclamatory sign too much or too often.
- Avoid trying to satirical or funny.
- Do not share confidential material by e-mail. Share it in person, if possible.
